How to log COD confirmation replies so support and fulfillment see the same answer

By Anuj Chauhan · · 2 min read

A customer replies "confirmed" on WhatsApp. Support sees it. The packing team, working from the order list, sees only "pending". One team holds the parcel, the other asks the customer again. When the answer and the order live in different places, every handoff becomes a chance to get it wrong.

The reply belongs with the order

A confirmation only helps if everyone who touches the order can see it. That means the answer, when it came and what it said should sit alongside the order itself, not inside one person's chat window. The change-my-order article shows what happens when replies stay in a general inbox.

One status, not three interpretations

Decide the few states an order can be in, such as confirmed, waiting or needs review, and use them everywhere. If support marks a chat "done" while fulfillment reads "unconfirmed", the customer gets mixed messages. The confirmed-order article explains why the customer's answer, not the chat's tone, decides the state.

Exceptions need a person and a note

Changes, unclear replies and cancellations should be recorded by a person with a short reason. The no-reply article covers the silent case. Whatever the outcome, the next person who opens the order should see what happened without asking around.

Saanvi Studio: one screen, one answer

In this fictional example, Priya confirms her COD order at Saanvi Studio. Her reply appears on the order itself. The packing team sees "confirmed" without asking support, and support sees that packing has started. When Priya later asks to change the size, that request lands on the same order, and a team member handles it before dispatch.

What Hextor builds around the shared record

Hextor builds WhatsApp COD confirmation flows for Shopify stores, with confirmation before the label is printed and the customer's answer tied to the order. During the audit, you can decide which states your team uses and who can change them. The flow runs in your own accounts. We promise no operational results.

Tap the "Ask anything" WhatsApp button and tell us where your team gets stuck. Start with a free 30-minute audit to discuss what the flow would need to handle in your Shopify store.
