When a COD customer asks to change the item after confirming

By Anuj Chauhan · · 2 min read

The customer confirmed the COD order an hour ago. Now they write back asking for a different size. If the order has already moved toward packing, the team has to choose: ignore the message, cancel and restart, or change it. A confirmed order with an open change request is not ready to ship.

A change request reopens the confirmation

What the customer confirmed was the original order. Once they ask for something different, the confirmed details are no longer the full picture. The change-my-order article describes how such replies get lost when they sit in a general inbox. The first step is to make sure the request is seen.

Hold the order and ask one clear question

Pause the order before the label is printed, then confirm exactly what the customer wants: the new item or size and whether the delivery details stay the same. Do not guess from a vague message. If the item is out of stock or the price differs, a person should tell the customer before anything is changed.

Record the final version, then confirm it

When the change is agreed, update the order and send the customer the new version to confirm. That keeps the record clean for the packing team and for support. The confirmed-order article explains why the final order, not the first one, is what the customer should say yes to.

Saanvi Studio: the size that changed

In this fictional example, Priya confirms a COD order at Saanvi Studio, then asks for a larger size. The order is held, a team member checks the stock, and Priya receives the updated order to confirm. Only then does it go to packing. If the larger size were unavailable, the person would offer a real alternative and wait for her answer. If she went quiet, the no-reply article applies.

What Hextor builds around changes

Hextor builds WhatsApp COD confirmation flows for Shopify stores, with confirmation before the label is printed. During the audit, you can decide which changes the flow can record and which a person must approve. The flow runs in your own accounts. It does not promise fewer cancellations.

Tap the "Ask anything" WhatsApp button and tell us where your team gets stuck. Start with a free 30-minute audit to discuss what the flow would need to handle in your Shopify store.
